Pre-arrival mailing

With the pre-arrival mailing an email can be sent to guests automatically, three days prior their arrival. This message can include the best tips in and around the hotel. You can think of museums, chef’s specials or your all time favourite things to do in the city. You can also put in a link for guests where they can buy museum tickets so they don’t have to wait in the queue anymore.

Think of which information would be useful before or during their stay. You can include links. We recommend to always link to your own website as much as possible. Example:

To activate the pre-arrival mailing

The pre-arrival mail has a standard format to make it as easy as possible for you. If you are satisfied with the default text you don't have to change anything.

The mailing is not activated by default, so you have to enable this first:  

  1. Visit
  2. Click on the Hotel Data tab
  3. Click Pre-arrival mail on the left side
  4. Click on Yes for "Mailing Enabled"
  5. Click Save


To insert a link (orange arrows)

  1. Select a part of the text
  2. Click on the chain / link icon
  3. Enter a link, including http:// (such as

To insert variables (green above)

You can also insert the guest's last name, arrival date, hotel name or hotel city automatically into the text. To do so, copy paste the variables, including the brackets { }
